Starting May 1, 2024, UKC is pleased to offer an online entry service for UKC licensed clubs.

How Does Your Club Get Involved?

Clubs interested in using the Online Event Entry Service, should first contact the UKC Hunting Ops team by email. Our team will then make sure you've got everything you need to get started, including a copy of our application form, a W9 form to fill out for UKC to keep on file, and to make sure that we've got a current list of your club officers.

What's included:

  • UKC builds a custom entry page for your club's event (based on the information you've submitted in your event application).
  • UKC publishes your event to the UKC website (like usual), and also links that calendar listing to your club's custom entry page.
  • UKC provides your club with a link to the custom entry page for your board and members to share out.

After Entries Open:

  • The club will appoint a Trial Secretary/Hunt Director to receive an emailed copy of each event entry during the event's pre-entry open dates. This keeps your club up to date for planning, in real time.
  • UKC collects entry information and entry fees from exhibitors plus a non-refundable service fee. After the conclusion of entries, UKC will retain the service fee and send the club the entry fees, minus recording fees of the pre-entered dogs.
  • After the close of entries, UKC will send the Event Secretary/Hunt Director a complete spreadsheet of the pre-entries collected for the event.

This premium service is offered at no cost to clubs, and is a perfect opportunity to create more efficiencies for your club officials surrounding the pre-entry process.

Free up your club staff! They've got enough to deal with when it comes to promoting and running the event. Opting into this service with your clubs next event is a great way to show your event secretary you value their efforts by helping them save time.

The system is flexible, allowing you the option of accepting walk-ups if you so choose, in addition to being able to decide for yourself whether you want to have a capped number of entries, or unlimited pre-entries through the event entry closing date (see timetable below). Online Event Entry Timetable

  • 9 weeks before the event: Clubs interested in using the Online Event Entry Service, must submit their request and have W9 form on file.
  • 7 weeks before the event: Online event entries will open on Monday.
  • 3 weeks before the event: Entries will close on Monday at 11:59 PM Eastern Time.
  • 15 days before the event: A spreadsheet of pre-entries will be emailed to the Event Secretary and a check will be mailed to the club of the entry fees collected minus recording fees.
